CENTILIO CARE / SERVE

What is help desk software, and how do you choose one?

Care is not out yet, so this is not a manual for it. It is the short version of what we would tell any small team choosing a help desk: what one is, which features matter, how to choose, and where cloud tools, schools and reporting fit in. Where Care is relevant, we say so, and we say it is designed, not shipped.

Where Care stands

Care is designed, not shipped.

Everything on Care’s pages — the features, the screens, the prices — describes Centilio Care as designed. There is no app and no beta yet, and no launch date. Join the waitlist and you will hear first.

Guide · the basics

A help desk, in one paragraph.

Help desk software turns questions into tickets: each has an owner, a status and a history, so nothing is lost and nobody answers twice.

The word covers two jobs that share most of their tools. Customer support help desks answer the people who buy from you; IT help desks answer your own staff when a laptop or a login breaks. Both need a queue, an owner for each question, a record of what was said and a place to keep the answers you give often.

A shared inbox does the first week. A help desk earns its place when two people answer the same email, when a customer has to repeat their order number, or when nobody can say how long people waited yesterday.

Guide · features

What are the features of help desk software that matter?

Five matter for a small team; the rest are nice to have.

Nice to have, later: several brands, business-hours targets, automatic routing and a portal on your own domain. Care’s design puts the first five on Free and Pro and the rest on Business.

  1. A shared inbox that takes email, chat and forms, with an owner and a status on each ticket
  2. The customer’s history beside the reply box, so nobody asks twice
  3. A knowledge base customers can search, and that your team writes from
  4. Saved replies or drafted answers, with a person still deciding what is sent
  5. Reports on first response, resolution time and satisfaction
Guide · choosing

How to choose help desk software in an afternoon.

Use your last fifty questions, not a feature list.

  1. Export the last fifty customer emails and count how many are the same five questions
  2. Write down who answers today, including the owner and the part-timer — that is your real team size
  3. Price each tool for that whole team, not for the one person who answers most
  4. Check where the customer’s history will come from: your CRM, your shop, or retyping
  5. Try the import with real data before you move your support address
  6. Run old and new side by side for two weeks, then switch
Guide · ticketing and cloud

What is the best help desk ticketing software?

The one your whole team will keep open. Ticketing is the core of every help desk; the differences are around it.

Ticketing gives each question a number, an owner and a status — new, open, waiting, solved — so the queue tells you what is left to do. Almost every product does this well. Choose on the parts around the ticket: where the customer’s history comes from, how answers are reused, and how the price grows when more people help.

A cloud help desk runs in the browser and is hosted by the vendor, so there is nothing to install and the inbox is the same at the office and at home. Most small teams should choose cloud; self-hosted help desks suit organisations with strict rules about where data sits. Care is designed as a cloud product.

Guide · schools and reports

How a help desk helps educators, and what to measure.

Schools and tutors get the same questions in waves: fees in the first week, timetables before exams, logins on the first day of term. A help desk helps educators by turning each wave into a few articles parents and students can find, and by keeping one record per family so the office does not ask twice.

For reporting, a small team needs four numbers: time to first response, time to resolution, satisfaction after a solved ticket and the questions asked most often. Agent productivity analytics beyond that — tickets per person, handle time — help a large team; in a small one they mostly measure who was on shift. Care’s proposed reports start with the four.

Questions

Quick answers.

What is help desk software?

Software that turns customer or staff questions into tickets, each with an owner, a status and a history, so nothing is lost and nobody answers twice. Most add a knowledge base, saved or drafted replies and reports on how long people wait.

How do I choose a help desk?

Start from your last fifty questions and your real team, including the people who answer now and then. Price each tool for that whole team, check where customer history will come from, and test the import with real data before you switch.

What is the best help desk software?

There is no single best one. The best is the one your whole team keeps open and can afford to give everyone; for a small business that usually means a shared inbox, customer history, a knowledge base and a price that does not punish extra helpers.

What is cloud based help desk software?

A help desk that runs in the browser and is hosted by the vendor, so there is nothing to install and the same inbox works anywhere. Care is designed as a cloud product.

How does a help desk help educators?

It turns the waves of questions every term brings into a few searchable articles, and keeps one record per family so the office does not ask twice. Fees, timetables and logins are the usual first three articles.

Which help desk reports matter for a small team?

Time to first response, time to resolution, satisfaction after a solved ticket and the most-asked questions. Per-agent productivity numbers help large teams; in a small one they mostly show who was on shift.

Can customers see their tickets?

In Care’s design, yes. They see them through a portal on your domain, alongside the help centre, reached by a link sent to their email.

Does Care answer customers automatically?

It drafts; a person approves. You can allow automatic answers for questions with an exact article, if you choose.

Questions we have not answered?

Ask through the contact page and a person replies. Care is in the third wave of Centilio tools; join the waitlist and you will hear first when it opens.
